Braille Digital Art Project Personal Information Handling Policy
This policy is established to ensure the appropriate protection and management of all personal information handled by the Braille Digital Art Project (hereafter, “the Project”) during its activities. This includes information about all individuals involved, such as ambassadors, volunteers, artists, visitors, and supporters. All parties involved with the Project are expected to understand and comply with this policy.
Article 1 (Purpose)
This policy sets forth the fundamental principles for the proper acquisition, use, management, and protection of personal information within the Project. Its purpose is to safeguard individual rights and interests and to establish trust in the Project. We place a strong emphasis on ensuring an environment where all stakeholders, including those with visual impairments and diverse backgrounds, can participate in the Project with peace of mind, by giving the utmost respect to their privacy and dignity.
Article 2 (Scope of Application)
This policy applies to all personal information related to the Project’s activities. It covers everyone who handles personal information, including the Project’s managing body, members, volunteers, ambassadors, and outsourced contractors.
Article 3 (Definition of Personal Information)
In this policy, personal information refers to information about a living individual that can be used to identify a specific person, either by the name, date of birth, address, phone number, email address, or other descriptions contained in that information (including information that can be easily cross-referenced with other data to identify a specific individual). This also includes physical characteristics, voice, images, or any number, code, or symbol that can identify a person.
Article 4 (Acquisition of Personal Information)
1.When acquiring personal information, the Project shall clarify the purpose of use and acquire the information through lawful and fair means.
2.When acquiring personal information indirectly, the Project shall confirm that the information was obtained legally and handle it appropriately in accordance with this policy.
3.When acquiring personal information from a minor (under 18 years of age), the consent of a guardian must be obtained.
4.When acquiring personal information, especially from an individual with a visual impairment, we will provide clear oral explanations and also offer alternative means that are easy for the individual to understand, such as Braille, audio, or large print, to ensure there is no misunderstanding.
Article 5 (Purpose of Use of Personal Information)
The personal information acquired by this project will be used for the following purposes.
Project Operations and Communication
- Contacting and providing information to project stakeholders, including ambassadors, volunteers, artists, and supporters, and managing their activities.
- Planning, operating, and providing information about events, workshops, and exhibitions.
- Conducting crowdfunding campaigns, sending returns to supporters, and providing progress reports.
- Handling administrative tasks related to applying for, reporting on, and receiving donations and grants.
- Public Relations and Promotion
- Introducing project activities and achievements on the project’s website, social media, newsletters, printed materials, and press releases.
- Disseminating information about the works and activities of artists with visual impairments.
- Responding to media inquiries.
- Note: When publishing photos and videos of artists with visual impairments, or of their work and activities, we will take great care to ensure it aligns with the individual’s intentions and shows the utmost respect for their dignity.
- Participant Management and Safety
- Tracking event participants and managing emergency contacts and safety.
- Managing health and safety information for participants at community cafeterias and other venues.

Fulfilling obligations under the law.
Conducting surveys and analysis to improve and develop the project.
Article 6 (Restrictions on Providing Personal Information to Third Parties)
1.The Project will not provide personal information to a third party (excluding contractors) without the prior consent of the individual, except as required by law.
2.When personal information is provided to a third party, the Project will obligate the recipient to manage it appropriately and will strive to protect the personal information.
Article 7 (Management and Security Measures for Personal Information)
1.The Project will take necessary and appropriate security measures to prevent the leakage, loss, or damage of personal information, as well as unauthorized access.
2.We will limit the personnel who handle personal information and provide them with proper education and training.
3.For electronic data, we will implement security measures such as password protection, encryption, and access restrictions.
4.For personal information on paper, we will implement physical measures such as locked storage and restricted access to unauthorized personnel.
Article 8 (Disclosure, Correction, Suspension of Use, and Deletion of Personal Information)
1.An individual may request the disclosure, correction, addition, deletion, suspension of use, or suspension of provision to a third party of their own personal information.
2.Upon receiving such a request, the Project will confirm the identity of the individual and respond appropriately and promptly in accordance with the law.
3.or requests from individuals with visual impairments, we will ensure smooth communication by providing oral explanations, audio, or other appropriate support.
4.The Project’s secretariat or designated contact point will handle all procedures related to these requests, as well as any complaints or consultations regarding personal information.
Article 9 (Supervision of Subcontractors)
When the Project outsources the handling of personal information to a third party, it will select a contractor capable of appropriately protecting personal information, obligate them through a contract to implement proper security management measures, and regularly supervise their compliance.
Article 10 (Revisions to the Policy)
This policy may be revised as necessary due to amendments in laws regarding personal information protection, changes in social conditions, or changes in the Project’s activities. In the event of a revision, the updated policy will be promptly announced on the Project’s website and other platforms. Special consideration will be given to notifying stakeholders, including those with visual impairments, about significant changes.
