Braille Digital Art Project Volunteer Management Policy
This policy aims to ensure the smooth and proper operation of volunteer activities for the Braille Digital Art Project (hereafter referred to as “the project”) and to secure the safety and benefits of both the volunteers and the project. All individuals who volunteer for the project shall understand and comply with the contents of this policy.
Article 1 (Purpose)
This policy clearly outlines the scope of volunteer activities, roles, safety management, and ethical standards to ensure volunteers can contribute to the project’s philosophy of “unleashing the creativity of the visually impaired,” “creating a multi-sensory resonance experience,” and “social contribution to the future through technology.”
Article 2 (Definition of Volunteer)
In this policy, a “volunteer” is defined as an individual who agrees with the project’s purpose and cooperates with its designated activities out of their own free will and an unpaid spirit.
Article 3 (Activities)
The activities for volunteers are diverse and depend on the project’s progress and needs. The main activities are as follows, but are not limited to them:
1. Project Operations Support
・Support with preparing and managing the Braille Digital Art Museum in a traditional Japanese house (cleaning, setup, providing guidance, etc.).
・Support with the operation of the Braille Digital Art Museum.
・Support with preparing and managing various events and workshops.
2. Art Production Support
・Support with data preparation, output, and exhibition of Braille digital art pieces.
・ Support with artist activities (mobility assistance, writing assistance, information provision, etc.).
3. Public Relations and Outreach Support
・ Cooperation with spreading information on social media (sharing activity details, etc.).
・Cooperation with public relations activities such as distributing flyers and posting posters.
4. Other
・Light office work and equipment management.
・Support with creating various documents.
Article 4 (Eligibility)
Individuals who can volunteer must meet all of the following conditions:
1. Agreeing to the philosophy of the project and this policy.
2. Being motivated to participate in activities and able to work with a sense of responsibility.
3.(For minors) Having the explicit consent of a parent or guardian.
4.Being in good physical and mental health and having no hindrance to activity.。
5.Having no association with anti-social forces.
Article 5 (Registration and Start of Activities)
1.Those wishing to volunteer must fill out and submit the required application form. Minors must also submit a consent form signed by a parent or guardian.
2.The organizers will review the application and, upon deeming the applicant suitable, will complete the registration.
3.After registration is complete, the organizers will contact the volunteer with details regarding the activities, meeting location, time, and other relevant information.
Article 6 (Rules to Follow During Activities)
Volunteers shall comply with the following rules during their activities.

1.Compliance with Instructions and Taking Initiative
・Before you begin, fully understand the instructions and explanations from the person in charge and ask questions about anything that’s unclear.
・ While following instructions, you should also assess situations on your own and actively suggest better methods or point out issues you notice.
・Prioritize safety and operate within a reasonable scope.
2. Confidentiality
・Do not disclose any personal or confidential information or matters concerning the privacy of the project, its participants, collaborators, or other related parties that you become aware of through your activities, both during and after the completion of your volunteer work.
3. Handling Personal Information
・Volunteers must comply with the project’s “Personal Information Handling Policy” and handle personal information appropriately. In particular, when posting photos or videos from activities on social media, etc., you must give full consideration to the portrait and privacy rights of the people in the images (especially minors and the visually impaired) and shall not publish anything that could identify them without their consent.
4. Respect for Dignity
・Based on the project’s philosophy, you must respect the dignity of all people from diverse backgrounds, including the visually impaired, and interact with them without discrimination or prejudice.
・ Work together with a spirit of mutual assistance.
5. Safety Management
・Strive to prevent accidents during your activities and promptly report any dangerous situations to the person in charge.
・If you feel unwell, do not overexert yourself and inform the person in charge.
6. Use of Facilities
・Please handle and use the facilities and equipment at the activity location with care.
・ Please follow the instructions of the person in charge regarding bringing in food and drinks, smoking, drinking alcohol, etc.
Article 7 (Emergency Procedures)
1. In the event of an accident or illness during the activity, promptly report it to the person in charge and follow their instructions.
2. The organizers shall give due consideration to the safety of volunteers during their activities.
Article 8 (Cost Burden)
As a general rule, personal expenses such as transportation and communication costs incurred during volunteer activities are to be borne by the volunteer. However, for activities separately designated by the organizers, a portion or all of the costs may be covered by the organizers after a separate consultation.
Article 9 (Termination of Activities)
1. Volunteers may terminate their activities at any time by notifying the organizers.
2. The organizers may ask a volunteer to terminate their activities if the volunteer violates this policy or is deemed unsuitable to continue volunteering.
Article 10 (Changes to the Policy)
This policy may be changed at the discretion of the organizers without prior notice to volunteers. The revised policy shall take effect from the time it is posted on the project’s website or other designated platform.
